Mail merge question

Auto Format: A feature of word processing software that automatically changes the appearance or formatting of text as you type it.

Mail Merge: A feature of OpenOffice Writer using which you can simultaneously produce multiple copies of the main document by replacing few text strings marked by field markers from a data source.

Data source: It is the database containing the recipient data records for the mail merge.

Merge Fields: These are the column heading(s)/fields name (s) for the table (data source) which can be anything like Name, Address, Telephone, Salutation, Id, etc, under which the individual records are stored.

Form letter: The base document that is sent out to the recipients and contains the common text of the letter/mailer.

Mail Merge

💢 AutoFormat works by applying the linked style or change defined for that type of text.

💢 Mail merge feature combines a list of names and addresses (the data source) with the main content of the letter (main document).

💢 Mail merge saves a lot of time, disk space and energy and can also create a more error free situation.

💢 It is often used for envelopes, invitations, e-mail messages, marketing promotions, etc.

💢 There are two components involved in the mail merge process-the data source and the main document.

💢 Data source is the recipient list that consists of variable fields that need to be substituted in the main document to create the final document instance.

💢 Data source can be in the form of Writer tables, Excel documents/tables, Access Tables or any other compatible database application. It can be generated during the mail merge process or you could use an already existing one.

💢 Merge/Field(s) refers to the column heading(s)/field name(s) for the table (data source) which can be anything like Name, Address, Telephone, Salutation, Id, etc, under which the individual records are stored.

💢 Merge fields act a as the linkages that are used to join the  main document with the data source.
