Page Setting

There are situations where we need to change the default page layout setting of a document, e.g., we may want to change the size of the paper or its orientation. We may want to add some page breaks or print/display the document with narrower margins to maximize the use of paper. Let us now learn how to change these setting to create the document the best suits our requirement.

Modifying page Margins, Page Orientation, Size of the Paper
The steps to set these to customize the document page layout are:
  • Click on the Format menu option → Page.. A Page Style: Default dialog box will open.
  • Select Page tab.
Page Margins: Page margins are the blank spaces bordering the data on top, bottom and sides, when it is printed. They provided the space to print headers and footers like title and page number. etc. Provide the required for Top, Bottom, Left and Right sides in the given boxes.

Page Orientation: Page Orientation is the direction in which you data is printed on the page. There are two page orientations available: Portrait and Landscape. In Portrait orientation the page is printed vertically, i.e., more taller than wider, while in Landscape orientation, it is printed horizontally, i.e., more wider than taller. Select as per your choice.
You can change the size of the paper on which your document would be printed. Select the desired paper size from the drop-down list.

Adding Columns
If you wish to split your document in more than one column, Writer gies you the flexibility to do the same.

To achieve this,

  • Click on Format menu option → Page.. A Page Style: Default dialog box will open.
  • Select Columns tab.
  • Specify the number of columns.
You can customize the column breaks as per you requirement by managing their width, spacing between two columns, etc.

Page size: Choose a paper size for your document.

Adding Breaks
Sometimes you may wish to display/print some portion of your document on a new page, a new section or a new column. In Writer, you can add page breaks, section breaks or column breaks at any position in the document to create a new page, a new column or a new section respectively from that point on wards.

To achieve this,
  • Place the cursor at the position where you wish to add a break.
  • Click on Insert menu option → Manual Break. An Insert Break dialog box will open.
  • Choose the desired break for line, column or page from the given options.
  • Click on OK.
Using Hyphenation
You can use hyphenation to accommodate the text more compactly in a given work area of a page.
What is this hyphenation? The symbol '-' is called hyphen.

NOTE:- If a word is broken at the end o the line and remaining part of word appears on the next line, then this process is referred to as hyphenation.

Setting a Page
Page-setting means setting the size of a page and, also, setting its margins, setting its margins. Hitherto, we have used default page size and default margins. However, hereafter, you can set page size and margins of your choice.

Open the document. Click the Page Layout-tab and Page Layout-pane comes to the front. Click the dialog-box launcher tool in the Setup-group and the dialog-box Page Set pops up on the screen with the Margins-page at the front. The dialog-box Page Setup consists of three tabs Margins, Paper, and Layout. We use the Margins-page to set the various margins of the page. The meaning of various margins and gutter a page can have, in case of a "single sided document." Gutter is nothing but a sort of margin that is used for binding or filing the printouts. Note the difference between single-sided document and double-sided document:

For example, letter or display-notice is a single-sided document, because while printing a letter or a display-notice we print on only one side of the paper. Books or magazines are double-sided document, because while printing a book or a magazine we print on both sides of a paper. A double-sided document is also said to have "mirror margins" and "facing pages." dialog-box shown is all set to accept the entries for single-sided document. By default, the value in the drop-down-list-box Multiple pages is Normal. If you want to set your document as double-sided one, then set the value in the drop-down-list-box Multiple pages to Mirror margins. In that case, the spin-boxes Left and Right are replaced by the spin-boxes Inside and Outside respectively. In order to set values of margins, simply type the desired value in these spin-boxes. Alternatively, click the up and down button as per requirement and set the desired value.

Make the following entries in the dialog-box Page Setup. Simply double-click the respective spin-boxes and type the desired value:

Top         →        1.2"             Bottom            →             1.2"
Left         →        1"                 Right                →             1"
Gutter    →        0.5"

For other item we want to accept the default values. This page also consist of two icons Portrait and Landscape. These icons are like radio-buttons, only of them can be selected. The icon Portrait is selected by default. If you are familiar with the world of paintings then the meaning of terms "portrait" and "landscape" should be quite obvious to you. If height of paper is greater than its width then that orientation is called portrait, and if width of paper is greater than its height then that orientation is called landscape. Setting and printouts of portrait and landscape documents.

Now click the Paper-tab and the Paper-page comes to front. In this page, the drop-down-list-box Paper Size displays the default list-item Letter. the spin-boxes Width and Height display the width and height of the paper. Make the following entries in the spin-boxes Width and Height:

Width      →       7.4"             Height         →          9"

and strike the Enter key (or click the command-button OK). Now the entry in the drop-down-list-box Paper Size automatically changes to Custom size. The dialog-box Page Setup disappears. Well, the page-setting of document is now complete and it is satisfactory. Finally, notice that the meaning of various margins and gutter a page can have, in case of a "double-sided document."

Line Spacing
The default spacing between the lines is 1.15 (Slightly larger than single). We can set the desired spacing between the lines using the Line spacing tool in the Paragraph-group in the Home-pane/Layout.
In order to change the spacing between the consecutive lines, firstly, place the keyboard-cursor in the desired paragraph. But, if you want to change the line-spacing for a number of paragraphs, then select all those paragraphs.

Now use one of the methods given below:
  • Click the drop-down button (arrow) on the line spacing tool in the Paragraph-group on the Home-pane/Layout and a list drops down.
  • Click the desired list-item and you get the desired line spacing Strike any arrow key to deselect the text.
  • Click the dialog box launcher tool in the Paragraph-group on the home-pane/Layout and the dialog box Paragraph pops up on the screen with the Indents and spacing-page at the front.
  • Click the drop-down button (arrow) on the drop-down list box line spacing and a list drop down.
  • Click the desired list-item (for example for double spacing, click the list-item Double, and so on) and the list winds up.
Spacing between Paragraphs
In order to well-separate the paragraphs, some people use two stroke of Enter key. This is a bad style. Never use two or more strokes of Enter key to separate the paragraphs form one another, because these strokes insert blank lines between the paragraphs. If any of these blank lines happen to appear at the top of a page then it really looks very ugly. Always use the entries Before and After in the dialog-box Paragraph to well-separate the paragraphs.

Follow these steps:
  • Place the keyboard-cursor in the desired paragraph. But, if you want to apply this effect to two or more paragraphs, then select all these paragraphs.
  • Click the dialog-box launcher tool in the Paragraph-group on the home-pane or Layout and the dialog-box Paragraph pops on the screen with the Indents and Spacing-page at the front.
  • Notice the  spin-box Before and After displaying the default values 0 pt (i.e., 0 point). Enter the desired values in the spin-boxes Before and After.
  • Strike the Enter key (or click the command-button OK). The dialog-box Paragraph now disappear form the screen. The desired spacing in now introduced above and below the paragraphs.
Indentation Using the dialog-box 'Paragraph'
You can apply desired indentation to paragraph using the dialog-box Paragraph. In order to do so,

Follow these steps:
  • Place the keyboard-cursor in the desired paragraph. But, if you want to apply this effect to two or more paragraph, then select all these paragraphs.
  • Click the dialog-box launcher tool in the Paragraph-group on the Home-pane/Layout and the dialog-box Paragraph paps up on the screen with the Indents and Spacing-page at the front.
  • In order to indent the first line of a paragraph (this is quite popular style) Click the drop-down-button (arrow) of the drop-down-list-box Special and a list drop down. Click the list-item First line, the list winds up, and a default entry of 0.17 inches appears in the accompanying spin-box By. You can change this default value, if you wish. But the default value is suitable and recommended. also, notice that the list-item None is used for removing this special indentation (i.e., first line or hanging).
  • In order to indent the whole paragraphs form left (the default indentation), enter a suitable value in the spin-box Left. In order to indent the paragraphs form right, make a suitable entry in the spin-box Right. In order to remove the indentation, enter 0 in these spin-boxes.
  • In order to apply hanging indent to paragraphs, click the drop-down button (arrow) on the drop-down-list-box Special and a list drops down. Click the list-item Hanging, the list winds up, the item Hanging gets selected. Also in the accompanying spin-box By the value 0.17 inches appears. If this default value of 0.17 inches is not suitable for you, then you can enter the desired value int he spin-box By.
  • Strike the Enter key (or click the command-button OK). The dialog-box Paragraph now disappear form the screen. The paragraphs is/are now indented accordingly. Strike any arrow key to deselect the paragraphs.
